Every quarter you need to reconcile your VAT and file Form 303. This Excel template does it for you: record your invoices, calculate the balance, and get the exact figures to fill in the form without errors.

The file has three tabs. Here is how each one works:

1. Income: add your sales invoices

Enter the date, client name, invoice number, taxable base, and VAT rate for each sales invoice you issued that quarter. The template supports 21%, 10%, and 4% rates. Select the correct rate for each line and the VAT amount calculates automatically. Column totals update at the bottom of the tab.

2. Expenses: add your supplier invoices

Enter the date, supplier name, invoice number, taxable base, and VAT rate for each expense invoice you received. Only include invoices that are deductible: those linked to your business activity and backed by a valid invoice with a NIF. Personal expenses and invoices without a NIF are not deductible and should not be entered here.

3. Summary: view your VAT totals

The Summary tab pulls the totals from the Income and Expenses tabs automatically. It shows:

Why you must file Form 303

Form 303 is the quarterly VAT return. You pay the difference between the VAT you collected from your clients and the VAT you paid to your suppliers.

If the balance is negative, that credit carries over to the next quarter. In the fourth quarter you can request a direct refund.

Filing deadlines (recurring each year):

Even if you issued or received no invoices that quarter, you must still file with a zero balance.

How to use the template to fill in Form 303

In the Income and Expenses tabs, enter the taxable base and VAT for each invoice. The template calculates automatically.
